The work the training side never sees

Hopedwell is best known for its training academy, but behind it runs an inspection business, the kind of work where engineers go out to a site, examine plant and equipment, and produce formal reports and certificates that have to be exactly right. That whole process was running on paper job sheets, spreadsheets and documents passed around by hand. HIVE is the internal system we built to run it properly.

An inspection is a chain, not a form

A single inspection is not one document. It moves through a chain: a job sheet to scope the work, a site diary recording what happened on the day with photos, a preliminary report, a full report, and finally a test certificate. Each step builds on the last, each needs the right people to review and sign it off, and the final output has to stand up to scrutiny. Building HIVE meant turning that whole chain into one connected workflow instead of a folder of loose files.

What we built

A custom Laravel and React internal platform that runs the inspection business end to end, with a mobile API feeding it from the field:

• • The full inspection chain in one place: job sheets, site diary reports, preliminary reports, full reports and test certificates, each flowing into the next
• • A review-and-sign-off workflow, so reports move through the right hands before they are finalised and turned into PDFs
• • Photo handling built for the field, including on-image annotation and automatic watermarking on records
• • Template builders for equipment, instruments and staff records, so new inspection types and forms can be set up without code
• • A no-code report builder, so the team can design new report layouts themselves
• • A finance job tracker, so the commercial side of each job lives in the same system as the work
• • A role and permission system with separate access for staff, finance, suppliers and clients, and an activity log recording every action
• • A mobile API so field teams capture and sync inspection work from site rather than writing it up later

The hard part

The difficulty was the sign-off chain. Reports cannot simply be saved, they have to be reviewed, approved and signed by the right people in the right order, and a certificate that goes out wrong is a serious problem in this line of work. Getting that approval flow correct, and locking down exactly who can see and do what across staff, finance, suppliers and clients, was the real engineering underneath the screens.

Where it stands now

Hopedwell runs its inspection business inside HIVE instead of across paper and spreadsheets. A job goes from the initial sheet all the way to a signed test certificate in one system, the field team feeds it from a mobile app, and the finance side tracks the commercial record alongside the work. The part of the business the public never sees now runs on software built specifically for it.
